Automation for professional services firms.

Agencies, consultancies, clinics, and law and accounting firms. The people you bill for should not be spending their week on intake, chasing and copy-paste.

Most of our work is with churches. We take on a small number of firms, usually through a referral, and a person approves anything that reaches a client. Firm work is quoted after a call rather than priced on this page.

Workflows we build for firms

Each one fits inside a two-week sprint. Pick the one that costs you the most hours.

  • WhenA new lead fills in your form or emails in

ThenIt lands in the CRM, a reply is drafted for approval, and the owner gets a task with a date.

  • WhenA client signs

ThenFolders are created, the welcome email and intake form go out, and kickoff tasks are assigned.

  • WhenYou need documents from a client

ThenRequests and reminders go out on a schedule, and files are named and filed as they arrive.

  • WhenAn appointment is booked or missed

ThenReminders go out beforehand, and a rescheduling message is drafted after a no-show.

  • WhenThe week ends

ThenClient status reports are drafted from your project tools, ready for review on Monday.

  • WhenAn invoice is overdue

ThenA polite reminder is drafted in your voice and waits for someone to approve it.

How we work with firms

We take on firms by referral and by introduction, and we only say yes when the fit is clear. Our systems in production today run inside our own company and inside a church. We do not yet have a professional services firm to name, and we will not pretend otherwise.

The patterns are the same ones a firm needs: intake, follow-up, document handling, approvals and reporting. What changes is the vocabulary and the stakes, and we scope for both.

Founding rates are open to our first three clients, in exchange for a published case study.

What you can hold us to.

  • Nothing reaches a client unapproved

Drafted replies, reminders and reports wait in a queue for the person whose name is on them.

  • A firm price and a date

A sprint is one workflow in two weeks at a fixed price. You know the cost before we start.

  • Your tools, your accounts

We build on the CRM, inbox and calendar you already pay for. The workflows and their documentation belong to you.

  • The person who scopes it builds it

David Horton scopes every engagement himself. There is no account manager between you and the work.

Confidential and regulated work

We scope around your obligations, and say what we will not touch.

Law, accounting and clinical work carry duties of confidentiality, and some carry regulation such as HIPAA. Altura Systems holds no compliance certifications, and we do not claim any.

In practice that means automations stay inside tools you already trust with that data, sensitive fields stay out of AI prompts, and anything we cannot do safely is named on the first call.
